Administrative Assistant

Job Description

Job Type: Full-Time

We are looking for a dependable, detail-oriented, Administrative Assistant to perform a variety of administrative and clerical tasks. The ideal candidate should have excellent written and verbal communication skills, be proficient in utilizing computer workstations to access and navigate local and networked files, be proficient in using software such as MS Word, MS Excel, MS Outlook, and QuickBooks, and be friendly and professional both in appearance and demeanor. Ultimately, a successful Administrative Assistant should contribute to the efficient and smooth day-to-day operation of our office.

Responsibilities

  • Answer and direct phone calls, taking messages
  • Support customer requests by phone and/or email
  • Receive and process inbound orders
  • Finalize and prepare outbound orders
  • Invoice for services rendered
  • Contribute to weekly production meetings, taking notes for follow-up
  • Composing emails, correspondence memos, and faxes
  • Maintain filing systems, both physical and electronic
  • Maintain customer mailing lists and daily invoicing logs
  • Provide support to walk-in customers and visitors

Skills

  • Possess the ability to work as part of a team, contributing to its success
  • Ability to learn from mistakes and use the experience to improve oneself
  • Ability to compare paperwork and identify inconsistencies
  • Ability to follow procedures consistently, having high attention to detail
  • Proficient in mathematics
  • Typing should be a minimum of 35 words/minute
  • Working knowledge of office equipment, like printers and fax machines
  • Utilizing Windows workstations, navigating / creating folders and files
  • Good working knowledge and experience with Quickbooks
  • Proficiency in MS Office (MS Word, Excel, and Outlook) in particular
  • Working knowledge of QuickBooks
  • 10-Key and knowledge of keyboard shortcuts preferable
  • Excellent time management skills and the ability to prioritize work
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Experience as an Administrative Assistant or Office Assistant preferred
  • High School diploma or equivalent
